Who we are
Reply Minder is operated by Buğra Altuntaş, an individual based in Türkiye. Contact: hello@replyminder.com.
Reply Minder is a service for businesses. When a business misses a phone call, it texts the caller back, answers their question and sends a booking link. This policy covers the people who call or text a business that uses Reply Minder, the business owners who connect their accounts to it, and visitors to this website.
What we collect
- Callers: your phone number, the text messages you exchange with the service, the time of each call and message, and a short summary of the conversation with how it was classified (the kind of request and its urgency).
- Business owners: the Google account you connect, the spreadsheet you choose as the lead log, your notification email address and your booking link.
- Website visitors: nothing beyond standard request data. This website uses no cookies, no analytics and no third-party scripts.
Why we use it
Only to run the service: to reply to a missed call, to send a booking link, to record the lead for the business that was called, and to notify that business. We do not sell personal data and we do not use it for advertising.
Who processes it
- Twilio — carries the phone calls and text messages.
- Google Gemini API — receives the text of a caller's message in order to draft a reply. Google's handling of that text is governed by the Gemini API terms.
- Google Sheets and Gmail — the lead log and the notification email, in the business owner's own Google account.
- Cal.com — hosts the booking page that the link in the text message opens. What you enter there is covered by Cal.com's own privacy policy.
- Hetzner — hosts the server that runs the service, in Finland.
- Cloudflare — serves this website and routes traffic to the service. It processes standard request data such as IP addresses to deliver and protect them.
Google user data
When a business owner connects a Google account, Google asks them to grant Reply Minder access to Google Sheets and Gmail. Reply Minder uses that access only as follows:
- Google Sheets: to add rows to the lead log spreadsheet the business owner has chosen. It does not read, change or delete other spreadsheets or files.
- Gmail: to send notification emails to the business owner from their own account. It does not read, search, change or delete messages in the mailbox.
Google user data is not sold, is not transferred to anyone except as needed to provide these two features, is not used for advertising, and is not used to develop or train AI or machine learning models. No person reads it except where the business owner asks for help with a specific problem, or where required by law or for security purposes.
Reply Minder's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can remove Reply Minder's access at any time at myaccount.google.com/permissions.
How long we keep it
- Rows in the lead log stay in the business owner's spreadsheet until the business owner deletes them.
- Processing records on the server, which include the message text, are deleted automatically after 14 days.
- Server backups are kept for 7 days.
Your choices
Reply STOP to any text message to stop receiving texts. To ask what we hold about you, or to have it corrected or deleted, write to hello@replyminder.com. If your request concerns a lead log kept by a business you called, we will pass it to that business.
Changes
If this policy changes, the new version will be posted on this page with a new effective date.
